Project overview

One operating platform for healthcare workflows, CRM and management visibility

Experts Care Connect is an internal digital-operations platform that brings fragmented service workflows into a shared model for ownership, SLA visibility, follow-up, reporting and controlled expansion.

Context & challenge

The operating need

Healthcare operations were spread across multiple request types, departments and follow-up processes, creating a need for clearer ownership, shared workflow states and management visibility without replacing clinical or financial systems of record.

Role & responsibility

Ahmed's contribution

Ahmed acts as Product Owner and Technical Lead, shaping product architecture, workflow rules, implementation priorities, governance decisions and AI-assisted development across the active program.

Project in practice

Selected implementation views

Unified operations

One view of workload, ownership and SLA pressure

The synthetic operations dashboard brings request volume, unassigned work, overdue items and recent activity into one management view so teams can see what needs attention first.

Workflow depth

Patient-relations work is modeled from intake through closure

A dedicated workflow surface shows intake, classification, ownership, follow-up and SLA state while keeping the same operating principles used across the wider platform.

Solution

How the work was approached

Environment: Experts Care healthcare operations, with bilingual staff-facing workspaces, CRM and engagement capabilities, reporting, governance and integration surfaces.

A modular PHP, JavaScript and SQL platform provides shared navigation, role-aware workspaces, request ownership, SLA states, notifications, reporting and integration-ready services while retaining external systems of record where appropriate.

Execution highlights

  • Established a shared operations model across appointments, medical reports, patient relations, refunds and related service workflows.
  • Introduced ownership, queue, status and SLA concepts that make operational priority and follow-up visible across modules.
  • Expanded the platform into CRM, engagement, analytics, governance and system-health surfaces while preserving module-specific rules.
  • Used staged implementation, browser validation and owner acceptance gates rather than treating the platform as one undifferentiated release.
Security & operational controls

Designed for responsible operation

  • Published screenshots use synthetic QA accounts and test data; patient information and real production identities are excluded.
  • Roles, permissions, auditability and scoped operational ownership are treated as platform capabilities rather than afterthoughts.
  • Connect does not replace MILLENSYS HIS/ERP or other systems of record; integrations and responsibilities remain explicitly bounded.

Management visibility

Operational activity becomes measurable performance context

Synthetic analytics connect workload, booking confirmation, contact outcomes and timing so management can review operating patterns without exposing real caller data.

Key decisions

Choices that supported the outcome

  • Use one shared operating model for work, SLA and ownership while allowing domain workflows to keep their own business rules.
  • Separate product maturity states so implemented, in-progress and planned capabilities are not presented as equally complete.
  • Keep the public case study focused on architecture and synthetic workflow evidence rather than private production records.
Lessons

What the work reinforced

  • Operational visibility improves when ownership and SLA state are modeled consistently across different service domains.
  • A healthcare operations platform needs clear boundaries with clinical systems of record as much as it needs features.
  • Synthetic QA evidence can demonstrate product depth publicly without exposing real patient or employee data.

Solution architecture

How the solution is structured.

The major functional layers and how they work together.

01

Experience layer

Bilingual operational workspaces for staff, supervisors and management across healthcare and CRM workflows.

02

Workflow & domain layer

Module-specific states, ownership, SLA rules and service workflows coordinate day-to-day work.

03

Data & audit layer

Shared application data, event history, reporting and audit context provide one operational foundation.

04

Integration layer

APIs and planned/controlled integrations connect the platform to systems of record without replacing them.

Core capabilities

What the solution enables.

The capabilities that make the project useful in day-to-day operations.

Unified operational work

Brings appointments, medical reports, patient relations, refunds and other service requests into one operating model.

Ownership & SLA visibility

Queues, assignment, overdue state and operational priority help teams see what needs attention and who owns it.

CRM & engagement

Contacts, leads, campaigns and relationship workflows connect operational follow-up to a wider engagement model.

Analytics & management visibility

Shared reporting and management views connect operational activity to measurable performance and follow-up.

Governance & auditability

Roles, permissions, audit, notifications and controlled workflow states support accountable day-to-day operation.

Platform health & integration readiness

System-health, integration and API surfaces support a maintainable internal platform rather than disconnected screens.
